Payment processing agreement

The terms every operator reviews and e-signs before taking payments through Waitlist App. Published here so you can read them in full before you sign up — the same text lives inside your account under Settings → Agreements.

Current version: 2026-10-02.1

What the fee covers

  • Secure payment processing & orchestration — cards, Apple Pay and Google Pay, set up and run for you.
  • Order management & fulfilment tracking — every order routed through your steps, start to finish.
  • Automatic customer confirmations on every paid sale — a text or email receipt to the customer on us, every plan, no monthly cap.
  • Receipts, live tracking pages & records — printable receipts and a tracking link for every customer.
  • Ongoing platform, support & upkeep — updates, reliability and help when you need it.

All of this runs automatically on every payment, so you don't have to.

Fees & taxes at a glance

  • Platform service fee — tiered by plan. Starter is 15% per sale; Pro and higher paid plans are 7% per sale. Deducted automatically at payment; the rest goes straight to you.
  • Stripe processing fee — currently 2.9% + 30¢ per successful card payment in the US (varies by country & payment method), charged by Stripe on top of the platform fee.
  • Taxes — yours to manage. You're responsible for the taxes on your sales. Stripe offers optional tools (like Stripe Tax, enabled in your own Stripe account) to help calculate and collect them — responsibility stays with you.

The terms

  1. 1 Two fees are deducted automatically from each sale you process through Waitlist App, at the time of payment: a platform service fee that depends on your plan, and a payment-processing allowance of 2.9% + $0.30 per charge, which covers the card-processing costs the platform is billed for on your charges. The amount paid out to you is the sale total minus these fees.
  2. 2 The platform service fee is tiered by plan. On the free Starter plan the service fee is 15% of each sale — pay-as-you-go, no monthly subscription. On Pro and higher paid plans the service fee is 7% of each sale. Your plan at the time a sale is processed determines the rate for that sale; upgrading or downgrading changes the rate on future sales, never retroactively. The current rate for your account is displayed on your Payments page.
  3. 3 The service fee covers the work we do around every payment: secure payment processing and orchestration, order management and fulfilment tracking, automatic customer notifications, printable receipts and live tracking pages, and ongoing platform support and upkeep. Operators who move more volume generally find Pro saves them money by lowering their per-sale rate.
  4. 4 Payouts go directly to your own connected Stripe account. Waitlist App never holds your sale proceeds — each charge is transferred to your account (minus the fees above) and Stripe pays you out on your account's normal payout schedule.
  5. 5 The processing allowance mirrors our payment processor's standard published rate for US card payments. Rates for some payment methods or cards can differ — the platform absorbs those differences, so the allowance you pay is fixed as stated rather than passed through per charge. If the processor's standard rate changes, we may adjust the allowance to track it; any change bumps this agreement's version and you will be asked to review and re-sign it.
  6. 6 You are the settlement merchant. Charges are processed on your behalf: the name on your customer's card statement is your own statement descriptor (set in your Stripe dashboard), and refunds and disputes run through your Stripe account. Stripe verifies your identity and pays you out under its own agreement with you.
  7. 7 Fee ordering. The platform service fee and payment-processing costs are deducted from each sale first. Any revenue-sharing arrangements you enter at the operator level — such as venue markups, business-partner shares, or staff commissions configured through the platform — apply only to the remainder of the sale after those fees, and are withheld and paid out by the platform on your behalf under the terms you set for them.
  8. 8 Revenue-share payouts. If another operator has configured a revenue share that pays YOU (for example a business-partner share or a staff commission), your share of each qualifying sale accrues at the time of payment and is paid to your own connected Stripe account by a weekly payout run covering amounts at least seven (7) days old. Refunds reverse shares not yet paid out; a chargeback arising after a share was paid is netted against your future shares.
  9. 9 Affiliate membership. Participation in the platform's revenue-share programs (business-partner shares and staff commissions) may require an active paid affiliate membership. If a required membership lapses, the accrual of NEW shares is paused until it is renewed; amounts already accrued are never forfeited and remain payable on the normal payout schedule.
  10. 10 You are the merchant of record for your sales. Your customers are buying from your business, and you are responsible for the goods, services, tickets, seats and memberships you sell — including their quality, accuracy of listings and pricing, fulfillment, customer support, and compliance with the laws, licenses and permits that apply to your business.
  11. 11 You are responsible for determining, collecting, reporting and paying any and all taxes on your sales. Waitlist App does not handle taxes for you. Stripe offers optional tax tools (such as Stripe Tax) that you can enable in your own Stripe account to help calculate and collect tax — but enabling and configuring them is up to you, and responsibility for your taxes always remains yours. Tax forms Stripe provides (such as a 1099-K) are informational only.
  12. 12 You may only sell lawful goods and services. Stripe's restricted-business categories apply to everything you sell through the platform. We may pause or refuse payment processing where we reasonably suspect fraud, abuse, or unlawful sales.
  13. 13 Refunds are yours to set and honor. You decide your refund and cancellation policy, you must make it clear to your customers before they pay, and you must honor it (and any consumer-protection law that applies to you). Issue refunds through the platform's refund tools so the money, the order record and the customer's receipt all stay in sync.
  14. 14 When you refund a sale through the platform, we return our platform service fee for the refunded amount. The payment-processing allowance is not returned — the underlying card-processing costs are not returned to us by the processor.
  15. 15 Chargebacks and disputes are handled by you. When a customer disputes a charge, Stripe may reverse the funds while the dispute is open and charges its own dispute fee. You are responsible for responding with evidence through your Stripe account, for the outcome, and for any dispute fees. Excessive disputes can lead Stripe — or us — to pause your payment processing.
  16. 16 Customer details collected through the platform (names, contact info, orders) exist to run YOUR business — fulfilling orders, seating guests, sending the notifications you configure. Use them lawfully and honor customers' opt-outs. We process this data to provide the service and do not sell it.
  17. 17 We are not a party to your sales. The platform is provided "as is" and "as available"; we do not guarantee uninterrupted service, and scheduled or emergency maintenance may briefly interrupt payments. Claims from your customers about your goods, services or events are between you and them — you agree to handle those claims and any resulting costs.
  18. 18 To the maximum extent permitted by law, we are not liable for indirect, incidental, or consequential damages (including lost profits or lost business), and our total aggregate liability for any claim relating to payment processing is limited to the platform service fees you paid us in the three (3) months before the event giving rise to the claim. Nothing in this agreement limits liability that cannot be limited by law.
  19. 19 This is a month-to-month arrangement with no long-term commitment. Either party may end it at any time. Ending it stops new payments through the platform; it does not cancel obligations for sales already made — including refunds, disputes and taxes on those sales.
  20. 20 The platform fee or these terms may change in the future. If they do, we will give you advance notice, the version number below will change, and you will be asked to review and re-sign the new version before continuing to take payments — the current fee is always shown before you process a sale.
  21. 21 Your signed copy is kept. When you sign, we record the exact text of this agreement, its version number, your typed legal name, the date and time, and your IP address — and we keep that record available to you on this page. Each version you sign is archived separately, so what you agreed to can always be shown verbatim.
